THE BASICS:1. Item Summary The Item Summary worksheet provides the summary information for each item that you inventory. InventoryMagic automatically calculates the on-hand quantity, the on-hand dollar value, and the quantity you need to re-order of each item.
The Inventory In worksheet is used to record each time that you bring quantities of your items INTO inventory...it provides a documented history of each time you receive that item. The Comment field offers you a place to make notes about that specific transaction if desired.
The Inventory Out worksheet is used to record every time that you take quantities OUT inventory...it provides a documented history of each time you take that item out of inventory. The Project/Job/Client field offers you a place to assign a project or make notes about that specific transaction if desired.
REPORTS:1. Inventory ReportThe Inventory Report worksheet appears when you ask InventoryMagic to run your Inventory report. You can choose to have your inventory reports include only those items where you have quantities on-hand...a true On-Hand Inventory Report. Or you can include all your items in the report (great for highlighting the items that have 0 on-hand). And you can choose to sort your inventory report by Item ID, by Description, by Category, or by Vendor. Like all InventoryMagic reports, you have three output options for the Inventory Report: (a) on-screen; (b) printed; and (c) save as stand-alone Excel file. In the example below, we have asked the Inventory Report to sort by Category, and to include only those items where we have quantities on-hand. And, as you can see, InventoryMagic provides subtotals for each Category in addition to the Grand Total.
2. Order ReportThe Order Report worksheet appears when you ask InventoryMagic to run your Order report. InventoryMagic will create a recommended order for you based on the quantity that you currently have On Hand, your Maximum Stock, and your Reorder Point. This report offers you several options (so that you can choose to include only those items or vendors that you want). Like all InventoryMagic reports, you have three output options for the Order Report: (a) on-screen; (b) printed; and (c) save as stand-alone Excel file. In the example below, we have asked InventoryMagic to sort our report by Vendor. As you can see, the Order Report says that we need to order 18 units of Item # apc500 from CDW in order to reach our desired Maximum Stock (since InventoryMagic knows that we currently have 2 pieces on-hand, and our desired Maximum Stock level is 20). And it also tells us that we need to order eight other SKU's from CDW, so our total order from CDW would be for $5,657.68.
3. Project Cost ReportThe Project/Job/Cleint Cost Report worksheet appears when you ask InventoryMagic to run your Project Job Cost report. InventoryMagic will provide the cost of each project (or job, or client...based on your parameters) using data that you have entered in the the Inventory Out spreadsheet. This report is based on a date range that you select. You can choose to include only one project, or all projects during that time period. Like all InventoryMagic reports, you have three output options for the Project Cost Report: (a) on-screen; (b) printed; and (c) save as stand-alone Excel file. In the example below, we assigned both a Client AND a Project when we moved inventory out on our Inventory Out spreadsheet. Then we asked InventoryMagic to give us a Project Cost report for all clients and projects during a specific 1-week period. The resulting report is shown here:
SETTING UP:1. Items Set-UpThe Items Set-Up worksheet is where you create the items that you want to inventory. You assign a unique Item ID to each item, as well as identify the Price per unit, the Vendor, the Reorder Point, and the Maximum Stock Level. If desired, you can also assign a Category to each item so that you can group your inventory by classifications that are important to you.
2. Color SchemeYou can use the 'default' color scheme in InventoryMagic--this is the grey-and-white duo that you see in all the screens shown on this page. We have found that it is easy to read and use. But--if you want to get creative and choose your own color scheme--InventoryMagic makes that easy too. You can select from among 11 preset color combinations. Or you can choose your own personal color scheme...be it duo, or single-color. Or, for the minimalist, you can choose an all-white background format. |

ADVANCED FEATURES:1. Xfer in This function is designed to simplify inventory movement for users who purchase their items in 'Case Pack' quantities, but need to inventory them in individual pieces--for example: a case of liquor (consisting of 12 bottles); a box of pens (consisting of 24 pens; a bag of bolts (consisting of 100 bolts). The Xfer In worksheet allows you to set up your different Case Packs along with the quantity of pieces per case. Then when you purchase a Case of something, you can simply tell InventoryMagic how many Cases you want to bring into inventory, and InventoryMagic automatically transfers all those individual pieces of the Case into inventory. In the example below, we advise InventoryMagic that we always receive our 6-Inch Nails (row 6) in a Case Pack of 100 nails per case (see Column D). And, since we are now bringing in 2 cases of these nails (Column E=Number of Cases), InventoryMagic knows that we are really bringing in 200 pieces of this item.
This function is designed to simplify inventory movement for users whose items are actually "kits" which they assemble from multiple different items in their inventory. The Xfer Out worksheet allows you to create your "kits" and itemize all the items that are the components of each kit. Then when you need to take out all the components to create that "kit" you can simply tell InventoryMagic how many pieces of the "kit" item you want to take out of inventory, and InventoryMagic automatically transfers all those components of the "kit" out of inventory. In the example below, we have told InventoryMagic that we want to assemble 5 Chairs, which it knows really means that we need to transfer out a total of 20 pieces of inventory--for each component item (4 pieces of our 3-Inch Nails, 4 pieces of our 5-Inch Nails, 5 pieces of our 4-Pound Widgit, etc.).
